2. Overview of Data Processing


We process personal data in connection with:

  • Website access
  • Event registration and ticketing
  • Payment processing
  • Event participation
  • Communication and marketing

Legal basis: primarily Art. 6(1)(b) and (f) under the DSGVO.


3. Hosting and Website Access

This website is hosted by WordPress.com (Automattic Inc., 60 29th Street #343, San Francisco, CA 94110, USA), certified under the EU-US Data Privacy Framework. When you visit our website, Automattic processes your IP address, browser and device information, and access timestamps to ensure secure operation. 4. Ticketing and Event Registration

When registering for events, we process:

  • name
  • email address
  • billing details
  • ticket type

We use external providers (e.g. Pretix) acting as data processors.


5. Payment Processing

Payments are handled via third-party providers (e.g. Mollie).

Data processed may include:

  • payment details
  • transaction IDs
  • billing information

Processing is required to fulfill the contract.


6. Event Participation

During events, we may process:

  • participant lists
  • badge information
  • attendance data

We do not share participant data with sponsors without explicit consent.


7. Communication and Newsletter

If you contact us or subscribe to our newsletter, we process your email address and communication content. Newsletter subscriptions use a double opt-in process: you will receive a confirmation email which you must click to activate your subscription. You may unsubscribe at any time via the unsubscribe link in each email or by contacting info@pi360.org.


8. Analytics and Cookies

We currently use only technically necessary cookies. Should we use analytics or marketing cookies in the future, we will implement a consent mechanism and update this policy accordingly.


9. Photo and Video Recordings

During events, photos and videos may be taken.

These may be used for:

  • website
  • social media (e.g. LinkedIn)
  • event promotion

10. International Data Transfers

Some service providers may process data outside the EU.

We ensure safeguards such as Standard Contractual Clauses (SCC).


11. Data Retention


We retain data for the duration of the contractual relationship and thereafter for up to 10 years as required by German commercial and tax law (§§ 147 AO, 257 HGB); event participant data is deleted within 12 months after the event unless a longer retention period is required by law; communication data (e.g. emails) is retained for up to 3 years.


12. Your Rights

You have the right to:

  • access your data
  • request correction or deletion
  • restrict processing
  • data portability
  • object to processing based on legitimate interest (Art. 21 DSGVO) — in this case we will cease processing unless we can demonstrate compelling legitimate grounds

  • withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing before withdrawal

13. Data Processing Agreements

We have concluded data processing agreements (Art. 28 DSGVO) with all service providers acting as data processors, including Pretix (rami.io GmbH, Freiburg) and Mollie B.V. (Amsterdam). These agreements ensure that personal data is processed only according to our instructions and in compliance with applicable data protection law.
